Kosha
AI that cites its sources — and never leaves your network if you choose

Every document.
One source of truth.

Kosha is the AI-native document management system for organisations that cannot afford to get documents wrong — numbering, approvals, transmittals and records, with a copilot that shows its work. In our cloud, on your servers, or fully air-gapped.

The demo runs the real Kosha engine in your browser. Your files never leave your machine.

Why Kosha

The rigour of enterprise ECM. The feel of a modern app.

Kosha (कोश) means treasury. We built it to keep an organisation’s knowledge safe, findable and trustworthy — without the consultants, the training courses or the dated screens.

Control, without the friction

Automatic numbering, mandatory checklists and Performer → Reviewer → Approver routing. The right people see a document at the right moment — access follows the lifecycle automatically.

AI that shows its work

Summaries, classification and answers that cite the page they came from. Permission-aware by design, and governed by policies you set.

Your cloud, our cloud or no cloud

The same product runs as SaaS, on your servers, or fully air-gapped with local AI models. No forced migration, ever.

Only what you need

82 capabilities, each a switch. Turn on transmittals for one client and records for another. Rename every concept to your own vocabulary.

How it works

Upload → Route → Approve → Issue → Revise

One lifecycle for every controlled document, with visibility that widens automatically: the people working on a draft, then the originating department once approved, then every recipient once issued.

  1. 01

    Upload

Drop in files — AI suggests the class, title, number and revision. Numbers are generated from your standard title.

  2. 02

    Route

Invite inputs from other departments and route to reviewers with stage checklists and due dates.

  3. 03

    Approve

Reviewers mark up in the browser; approvers sign — with an electronic signature manifest where required.

  4. 04

    Issue

Issue to departments or send a numbered transmittal. Access widens to recipients automatically.

  5. 05

    Revise

Request a revision, get it authorised, and the next revision number is assigned. Recall anything issued in error.

Kosha AI

Governed AI, built into every step.

AI in Kosha drafts, checks and explains — it never decides. Every answer cites its sources, respects document permissions in real time, and follows the policies your administrator sets.

  • Kosha Copilot Starter+

In-app assistant that explains screens and guides users step by step.

  • Ask the library Enterprise

Ask questions across every document you can access, with citations.

  • Auto-classification Business+

Suggests class, title, number, revision and metadata from file content on upload.

  • Change summaries Business+

Explains what changed between revisions in plain language.

  • Review assistant Enterprise

Checks the document against the stage checklist and drafts review comments.

  • Comment resolution Enterprise

Groups duplicate comments and drafts responses for the comment resolution sheet.

Never leaves your network — if you choose. Run Kosha’s built-in engine or a local model (for example via Ollama) on your own GPUs, or connect a cloud provider and set a classification ceiling so Confidential and Restricted documents are never sent out.

Security & compliance

Built for auditors, not just for users.

Kosha records who did what, when and why — in a chain that cannot be quietly edited. Controls map to ISO 27001, SOC 2, 21 CFR Part 11 / EU Annex 11, India’s DPDP Act and GDPR.

Tamper-evident audit

Every event is SHA-256 hash-chained. Verify integrity on demand.

Electronic signatures

Re-authentication, meaning of signature, and a signature manifest on the PDF.

Classification & clearance

Public to Restricted labels, matched against each user’s clearance.

Retention & legal hold

Disposition by document class; holds override everything.

MFA, SSO, IP allow-list

TOTP, OpenID Connect / SAML, and network restrictions.

Data loss prevention

Detect PAN, Aadhaar and card numbers on upload; flag, classify or block.

Switch on only what you need

Your product, configured — not customised.

Every capability is a feature switch. Your edition sets what is licensed; your administrator decides what is on. Dependencies are handled for you, and anything switched off disappears from screens and the API.

Rename “Project” to “Job”, “Transmittal” to “Submittal”, “Approver” to “Authoriser”. Configuration exports as a file you can review, version and promote from test to production.

FAQ

Frequently asked questions

Is the live demo the real product?
Yes. The demo runs the same Kosha engine we ship to customers, compiled to run inside your browser with an in-browser database. There is no sign-up and no server: anything you upload stays in your browser and disappears when you clear site data. AI in the demo uses lightweight on-device heuristics, so answers are simpler than with a full language model.
Can Kosha run entirely on our own servers, with no internet?
Yes. The Sovereign edition installs on your infrastructure — on-premises, private cloud or fully air-gapped. AI runs on local models you host, licences are verified offline, and updates arrive as signed offline media.
Do we have to buy every feature?
No. Every capability in Kosha is a switch. Your edition decides what you are licensed for; your administrator decides what is switched on. If a feature is off, it disappears from menus, screens and the API — your people see only the product you configured.
Does our data train anyone’s AI model?
No. Kosha never uses your content to train models. You choose the AI provider — the built-in on-device engine, a local model, or a cloud provider under your own agreement — and you can stop documents above a chosen classification from ever reaching an external provider.
Are vendors and clients charged as users?
External collaborators — vendors, subcontractors and clients who receive transmittals or submit documents — are free within generous limits on Business and Enterprise, and unlimited on Sovereign.
Is Kosha certified (ISO 27001, SOC 2)?
Not yet. Kosha is a new product and we will not claim certifications we do not hold. The product is built with the controls those frameworks expect — hash-chained audit, MFA, SSO, classification, retention, e-signatures — and our security page lists what Kosha provides and what stays your responsibility. Formal certification is on our roadmap.
Can we rename “Project”, “Department” and other terms?
Yes. Administrators can rename core concepts — Project to Job, Matter or Plant; Transmittal to Submittal; Performer, Reviewer and Approver to your own role names — and the whole interface follows.
How do we migrate from our current system?
We offer fixed-price implementation packages that include migration from file shares, SharePoint and legacy EDMS/ECM platforms with metadata mapping. Bulk upload with spreadsheet metadata mapping is built into the product.
